Logistics
VMBC and the Pride of Herndon Welcomes you to the 2024 Showcase of Bands!
PIT Parking: PIT vehicle parking is on the South Side of the school. Parking volunteers will
direct your vehicles upon arrival.
Note: Due to limited space we ask you to respect the departure time for your Pit vehicles.
Bus Parking: Buses will be parked either on school grounds or offsite parking as directed by
our parking team.
If needed, we have storage areas in the cafeteria for your students to use.
Bathrooms are available off the cafeteria (door 14) – please refer to map or ask at registration
for directions.
Field Surface: Turf
Awards Ceremony: There are three Awards Ceremonies. Drum Majors and/or Band
Representatives will assemble for the Awards presentation at the band entrance gate before
the last band performs in their respective third of the event.
Feeding your Band: Due to local ordinances, no tailgating or grilling of any kind is permitted
on the campus or in the surrounding area. Because of the complex parking situation, food
deliveries (Uber Eats, pizza deliveries etc.) will not be allowed on the campus. See concessions.
Concessions: Concessions are available inside the stadium throughout the event. Concession
will open at 10:00am. The menu is provided online https://www.herndonband.org/menus

Rain Plan: In the event of inclement weather VMBC and the Herndon Event Coordinator will
contact directors with delay, standstill, indoor performance, or cancellation scenarios. In the
event of a cancellation, band directors will be contacted by 9AM Friday unless Fairfax County
provides direction after that time. Other changes will be communicated when appropriate.
Staff/Adult Access into Stadium: You will receive a Band Director Badge upon arrival. All
marching band students will receive a green wristband that allows them entry/re-entry during
Showcase.
You will also receive green wristbands for adult members of your group. The number of free-
entry adult wristbands will vary by the size of your band. These can be used for entry for your
instructors, pit crew, chaperones and bus drivers. Any adult entries beyond the amount
detailed below will need to be purchased at the ticket booth at retail pricing ($12 for age 13+,
$10 for senior citizens, $6 for children aged 6-12).
Groups 1 & 2 – 10 wristbands per band
Groups 3 & 4 – 15 wristbands per band
Groups 5 & 6 – 20 wristbands per band
Entry to the Stadium Following the Performance: Your band members are invited into the
stadium after their performance free of charge. Entrance for band members in uniform, or in a
group if out of uniform, is through the MAIN gate. While in the stadium the band members are
to sit in groups with appropriate supervision. Please remind your students to be respectful of
other audience members as well as the bands performing on the field.
Spectator Parking: Spectator parking is limited. Spectators may use the 1st entrance to the
school or park in the Herndon United Methodist Church parking lot across the street (#2 on
map page 8). Note there is also parking behind the church. If you park in the neighborhood,
walk around the front to the left side of the school to get to the Stadium entrance, where the
ticket booth is (#10 in overall area map).
Restrooms: Restrooms are located inside the Stadium near Concession, and inside the school,
through doors 11 and 14 (front of school) and door 8 (back of school).
Water stations: There are two water stations - one in front of the school that will be by door
#13 (map page 9), and one at the back of the school by door #8.
Check In and Warm-Up Areas
When you check in:
● Let us know if you will be leaving directly after your performance – this may affect your bus parking.
● You will be assigned a warmup area.
● Your band will be assigned a band marshal to stay with your group through performance.
● Your band will exit the bus and follow the band marshal to the cafeteria to store their
personal items and then return to the warmup area.
● If you do store your items in the school, pick a contained spot in the room for your band. Other schools will also be storing their items in same room. HHS is not responsible for items stored.
● Your bus drivers will be given parking information and instructions.
Warm-ups and transit to Gate:
● Pit will warm-up separately from the rest of the ensemble. Please see the attached map.
● Warm up areas are close together. Please be considerate of other groups if you spread out and face away from school while playing.
● There is no room for additional marching practice.
● Pit will go from warm-up area to Gate set-up area on the right side of the school (#8 on page 8).
● Ensemble can go from warm-up to Gate set-up area either THROUGH school, or around the right side of the school via doors #1 and #8 (map page 8)
● From the Gate set up area, your band will enter through the main stadium gates (#8) when the
performing band has exited both field area and stadium. Follow the instructions of the Gate
Logistics crew.
When your performance is over:
If you are leaving immediately following your performance, please proceed to the buses. Otherwise, you may return instruments to the trucks and buses and watch other performances from the stands.
When awards are over:
Please proceed to the buses.
Your patience and flexibility are appreciated. Our volunteers will do everything they can to make this day as smooth and enjoyable as possible!
Pit Parking and Warm-up Area
PIT trucks will enter the campus at the 2nd entrance depicted in page 8 to the PIT parking area. Any additional vehicles containing PIT volunteers should use Spectator parking listed above. A PIT Parking representative will direct you to one of the two PIT parking areas. Another representative will direct you to the appropriate parking spots. The PIT vehicles can be unloaded and remain in that spot 45 minutes following your band’s performance. They will then need to depart no later than the time indicated on the schedule to make room for incoming PIT vehicles. Once you have unloaded PIT please proceed to the PIT Warm Up Area where your PIT should set up.
THERE WILL BE NO AMPLIFCATION PERMITTED NEAR THE TRUCKS AS WE ARE TOO CLOSE TO THE STADIUM
When your performance is over:
PIT proceeds left outside the stadium, along the back of the school to the PIT parking area to load the PIT vehicles.
Please remember that once your band’s performance is over, all equipment/pit trucks must be loaded and exit no later than the time indicated on the schedule via the same place you entered.
If your PIT drivers want to return to Showcase to watch other bands, there is offsite parking behind NW Federal Credit Union (Corner of Spring Street & Herndon Parkway, 200 Spring Street, Herndon, VA 20170).
Bus Instructions
Buses enter the campus at the 2nd entrance off Bennett Street. They will be directed to park by one of our volunteers. After offload, you will be directed to either an onsite, or offsite location with a return time.
Band members exit the bus once parked.
Buses (and trucks) may approach HHS through the nearby neighborhood to avoid Spectator traffic on Bennett Street or may circle around through the neighborhood to reach parking on Bennett Street. See below.
