Logistics

VMBC and the Pride of Herndon Welcomes you to the 2025 Showcase of Bands!
 
Pit Parking
Pit vehicle parking is on the south side of the school. Parking volunteers will direct your vehicles upon arrival.
Note: Due to limited space, please respect the scheduled departure time for pit vehicles.


Bus Parking
Buses will be parked either on school grounds or in off-site parking as directed by our parking team. Storage areas are available in the school cafeteria for your students.

Bathrooms
Bathrooms are located inside the stadium (near concessions), INSIDE the school at doors 11 & 14 (front), and door 8 (back).

First Aid
The First Aid tent is located outside the stadium near the ticketing booth.

Awards Ceremony:
There are three award ceremonies. Drum Majors and/or Band Representatives should assemble at the band entrance gate before the last band performs in their section of the event.

Feeding your Band: 
No tailgating, grilling, or food deliveries (Uber Eats, pizza, etc.) are permitted on campus or nearby.

Concessions: Concessions are available inside the stadium throughout the event. Concession
will open at 10:00am. The menu is provided online https://www.herndonband.org/menus

Video: VMBC will not be allowing band representatives in the press box.
Photography: Allowed, but photographers may not cross the sidelines once the performance begins. Judges on the field have priority and must not be blocked. Photographers should remain respectful of others’ views. Event photos will also be available online  https://photos.lochleventech.com/events/pride-of-herndon-25-26/hhs-2025-09-27-herndon-showcase a few days after the performance. The password is HerndonShowcase2025

Rain Plan: In the event of inclement weather, VMBC and the Herndon Event Coordinator will contact directors regarding delays, standstills, indoor performances, or cancellations.
 

STAFF / ADULT ACCESS INTO STADIUM

  • Directors will receive a Band Director Badge upon arrival.

  • All marching band students will receive a green wristband for entry/re-entry.

  • Bus drivers can request a green wristband at the registration desk. Note the hospitality room is for volunteers only.

  • Free green wristbands for adult staff (instructors, pit crew, chaperones) will be provided according to band size:

    • Groups 1 & 2: 10 wristbands

    • Groups 3 & 4: 15 wristbands

    • Groups 5 & 6: 20 wristbands

  • Additional adult entries may be purchased at the ticket booth ($12 ages 13+, $10 senior citizen, $6 ages 6–12).

Stadium Entry After Performance
Band members may re-enter the stadium free of charge after their performance, either in uniform or as a supervised group, through the main gate. Bands must sit together and remain respectful of audience members and performing groups.

 

SPECTATOR PARKING

Parking is limited. Use the school’s first entrance, or park at Herndon United Methodist Church (additional parking behind the church) or in the adjoining neighborhood.

 

FACILITIES

  • Restrooms: Inside the stadium (near concessions). Inside the school at doors #11 & #14 (front), and door #8 (back).

  • Water Stations: Front of school (door #13) and back of school (door # 8).

CHECK-IN & WARM-UP AREAS

At Check-In:

  • Notify staff if you plan to leave directly after the performance (affects bus parking).

  • Turn in any outstanding registration fees.

  • Bands will be assigned a warm-up area and a guide.

  • Students may store belongings in the cafeteria (note: shared space; Herndon HS is not responsible for items).
     

Warm-Ups & Transit to Gate:

  • Pit warm-up: Separate location (see map).

  • Warm-ups: Areas are close; no room for marching practice.

  • Pit transit: From warm-up to Gate Setup Area (door #8, right side of school).

  • Ensembles transit: Through school (doors #1 & #8) or around the right side.

  • Stadium entry: Enter stadium after the prior band clears; follow crew.

After Performance:

  • Guides lead bands to water (by door #8).

  • Pit returns equipment to trucks.

  • Bands with buses in front: enter door #8, then exit door #1.

  • Retrieve items from the cafeteria/buses, then return to the stadium.

After Awards:

  • Retrieve belongings. Volunteers will direct bands back to buses.

PIT PARKING & WARM-UP AREA

  • Pit trucks enter via the 2nd entrance off Bennett Street.

  • Additional pit volunteer vehicles → spectator parking.

  • Volunteers will direct trucks to assigned spaces.

  • Pit vehicles may remain parked for 45 minutes after performance, then must depart as scheduled.

  • After unloading, proceed to the Pit Warm-Up Area.

  • No amplification near pit trucks (too close to the stadium).
     

After Performance:

  • Pit exits along the back of the school to the pit parking area.

  • Load equipment and exit no later than the scheduled time.

BUS INSTRUCTIONS

  • Buses enter campus at the 2nd entrance off Bennett Street. Volunteers will direct them to on-site or off-site parking.

  • After unloading, buses may be redirected and given a return time.

  • Buses and trucks may approach via neighborhood routes to avoid spectator traffic on Bennett Street.

  • Bus drivers may receive one wristband for access to the stadium upon request at the registration desk. Please note that the hospitality room is for Herndon High School volunteers only.
