Operations Manager

Position Type: Part-Time


VMBC is a dynamic and thriving organization dedicated to promoting excellence in the
world of competitive marching bands within the Commonwealth of Virginia. Our organization

provides a platform for talented and dedicated high school marching bands to
showcase their skills and compete at the highest level. We are seeking a motivated and
experienced Operations Manager to join our team and play a pivotal role in managing
the day-to-day operations of our organization.


Position Overview: The Operations Manager for VMBC will be responsible for
overseeing and coordinating the logistical and administrative aspects of our
organization. This role is essential in ensuring the smooth execution of competitions,
maintaining the highest standards of fairness and professionalism, and fostering a
positive experience for participants, judges, and spectators.


Job Description:


Event Planning and Management:
● Collaborate with the Event personnel and other key stakeholders to plan,
organize, and execute all competitive events.
● Coordinate with hosting schools/venues to ensure appropriate facilities
and accommodations meet all VMBC standards.
● Facilitate Executive Board meetings and committee meetings.
Compliance and Regulations:
● Stay up-to-date with relevant rules, regulations, and guidelines for
competitive marching band competitions.
● Oversee the enforcement of all rules and guidelines, ensuring a fair and
level playing field for all participants.
● Responsible for keeping all VMBC records/artifacts in an organized and safe
manner.
● Keep a digital copy of all formal VMBC documents, including but not limited to
manuals, agendas, minutes, forms, recaps, and other significant data that
comprise the official permanent records of the organization for archival reference
and to pass on to the next Operations Manager or Executive Board appointee
● Maintain an accurate Executive Board and Advisory Board members with contact
information.


Budget Management:

● Collaborate with the Executive Board to create and manage event budgets
and annual operating budgets.
● Monitor expenses, seek cost-effective solutions, and report on financial
performance.


Communications:
● Maintain effective communication with participating bands, judges, and
executive board.
● Create mechanisms for feedback and processing feedback/concerts.
Sponsorship and Partnerships:
● Collaborate with the Marketing team to identify and secure potential
sponsors and partners.
● Nurture relationships with existing sponsors to ensure their continued
support.


Post-Event Evaluation:
● Collect feedback from all stakeholders, including bands, judges, and
spectators, to improve future events.
● Prepare post-event reports and share insights with the leadership team for
continuous improvement.

Qualifications:
● Bachelors degree in business administration, event management, or a related
field (or equivalent experience).
● Proven experience in managing such an organization and management,
preferably in the field of competitive marching band or similar activities.
● Strong organizational and leadership skills, with the ability to work under
pressure.
● Excellent communication and interpersonal skills.
● Knowledge of competitive marching band rules and regulations is a plus.
